Purpose: prevent incidents; respond fast when they happen; keep VIPs calm and informed.
Scope: all day trips and multi-day trips on the Northern Circuit.
Applies to: owners, driver-guides, partner vehicles, ops coordinator (“duty”).
1) Roles & Contacts
- Lead Guide (vehicle commander): safety in vehicle/field, guest briefings, radio.
- Ops/Duty (24/7 phone): checks, holds, reroutes, escalation, family/partner comms.
- Owner: final escalation, incident reporting, media response.
Duty Phone: carried and answered 24/7 while guests are in country. Rotate daily.
2) Pre-Trip Safety Checks
D-7 (or when booking confirms)
- Verify AMREF Flying Doctors cover for party; record policy/IDs.
- Confirm lodge emergency contacts & nearest clinic/hospital for each night.
- Note road closures, weather alerts, unrest (keep neutral; route options ready).
D-1 (vehicle & docs)
- Vehicle: tires (incl. both spares), jack, tools, fluids, brakes, lights, wipers, horn, AC.
- Gear: first-aid kit (stocked), fire extinguisher (charged), recovery strap, shovel, triangle, torch.
- Comms: VHF radio test + duty phone test (with charger/power bank).
- Paperwork: park permits, vehicle insurance, driver license, guest list + contacts + medical notes.
